SAMPLE Perth Theatre Project SAMPLE P.O. Box 611 Perth, Ontario K7H 3L4 Rental Agreement for the Studio Theatre Dated : ______________________ Organization: ________________________________________ (name/address) ________________________________________ ________________________________________ Telephone #: ______________Alternate #: _______________ Representative: _______________________________________ The above named representative, _______________, on behalf of the organization, _______________, agrees to rent the Studio Theatre, Perth, Ontario, for the following performance date/s: ____________________________________ . The cost of the rental is set at $250.00_ per performance. There will be performance/s. A non-refundable deposit of $50.00 per performance is required to confirm rental and will be deducted from the billing of the performance date. The renter shall be financially responsible for any damage that occurs to the theatre space (building, contents, furnishings and equipment), any loss or damage to equipment, displayed artwork or any cleaning costs incurred by the Perth Theatre Project while the contract dates are in effect. The renter agrees that they will use the Perth Theatre Project’s House Program and allow the insertion of the Perth Theatre Project’s STNews along with their program if they are using one or allow the distribution of the House Program along with the STNews if they are not using a program. Before the rental starts the renter and a Studio Theatre Board Member or person designated by the Board of the Perth Theatre Project will walk through the theatre and verify any existing damage. This is to be recorded on this rental agreement and signed by both parties. There shall be a Perth Theatre Project Technician or person designated by the Board of the Perth Theatre Project on site at all times during the rental to support the renter and ensure compliance with all Fire and Safety Code requirements as well as Perth Theatre Project Policies. The renter shall vacate the premises within 1 hour of the completion of the performance unless prior arrangements have been made and accepted in writing.
The renter is responsible for the bagging of all garbage that is produced by their group during their rental period unless other cleaning arrangements are made prior to the performance date/s. Nothing is to be stored in the electrical room. All performers, as well as sets and props, must enter via the Stage Door which is located at the side of the building. Due to the display of artwork in the foyer, the front door of the Studio Theatre must be locked at all times unless there is someone manning the Box Office or minding the foyer; this includes before, during and after performances as well as during any rehearsals. The renter is responsible for the artwork for the duration of the rental period. If desired, it is acceptable to leave the Stage Door unlocked to allow for easy access while in the theatre. We ask that all persons who use the Studio Theatre space respect that this is a not-for profit organization run by volunteers. The current outfitting of the Studio is the property of different users and supporters. Please exercise care with artwork, drapery, lighting systems and other items in the theatre. All users of the Studio Theatre space are expected to respect the building fire & safety code: Keep all exit doors readily accessible with a 48 -inch clearance. Keep the upstairs lobby and greenroom doors closed to seal firewall. Regulate the number of patrons attending the event. The theatre holds a maximum of 210 people. Ensure that all sets and props are safely secured to protect actors and patrons in the theatre. Ensure that microphone, Power and audio cords are safely secured and taped down or in the case of doorways and access points are run overhead. No smoking is permitted in the theatre. No alcohol is permitted in the theatre. No outside Food is to be brought into the facility for sale or distribution at any performance or event covered by this contract. The Perth Theatre Project retains the right to provide food and drink services for all activities taking place in the Studio Theatre. Nothing is to be taped to the walls of the theatre, if needed it should be adhered using blue Tack putty only and removed immediately after the performance All rental groups shall carry their own insurance for their property and equipment and for any liability related to their performance and/or concessions and should be prepared to produce a certificate of coverage before the performance. A damage deposit of $150.00 payable at time of booking (cash or cashable cheque) will be held and returned to the renter at the end of this rental agreement when it has been verified that all aspects of contractual obligation have been adhered to. Note any discernible damage below: (To be completed at the time of entry) Initials of Renter __________ Initials of PTP Board Representative __________ NOTE: Any variances to this contract and the approved schedule of fees must be approved by the board of directors and confirmed in writing to the renter prior to the final acceptance of this contract. This contractmust be completed and returned to thePerth Theatre Project within 10 days of its receipt by the renter to insure the dates requested areprotected. After this period the dates will be released for other potential renters use and therefore cannot be guaranteed.. Cancellation. This contract can be cancelled with only the loss of the deposit and payment of an amount to cover any third party rental and other costs that have been incurred on the renters behalf by the Perth Theatre Project up to 14 days before the performance. If the contract is cancelled 7 days or less before the event the contract amount is payable in full at that time. If cancellation notices are required they must be supplied by the renter on the day of the cancellation so that the PTP can place them on the Theatre sign boards. A representative of the group must be at the Theatre 1 hour before the performance time to 1 hour after the scheduled start time to handle any ticket issues.
The renter agrees hereby that should the Studio Theatre become unavailable for any rented event for reasons outside of the managements control (fire, flood, earthquake, lockout etc..) that they hold the Perth Theatre Project, its Agents, Management and Volunteers non culpable for any damages or lost business costs and will hold them harmless from any potential law suits arising from the cancellation of the event.
